    Spreadsheet for audit report.

    Hi all,

    I have been inactive for a few years, I hope I can find some help.

    In our organization, we carry out compliances audit to manufacturers (generally, heavy engineering). Various aspects are considered, and the reporting process is painful and time consuming.

    I am preparing an Excel spreadsheet where I can move the common data across, from one form to the other. The main problem I am having is to create automatically the "Observation" or "non-conformance" report, since one of each has to be created for each identified non-conformance or observation.

    In essence, the auditor goes to the manufacturer with a "checklist". This checklist is pre-filled by the Client, and the auditor verifies that what has been declared by the Client is actually present and implemented, through sample checks.

    If everything goes well, the auditor just report the evidence with a few notes.

    If something is not sparky clean, there are three levels of action:

    - Opportunity for improvement, which is a sort of "you could do better, but I am not worried"
    - Observation, which is a "hey, there is a threat here, take action before the next audit"
    - Non - conformance, which is a big "no" and the Client shall take immediate action.

    In case of Observation or non-conformance, the client is notified immediately with a report (generate from a template).

    What I would need is an automated macro that -when an observation or non conformance is reported in the checksheet by the auditor- generates a new OBS or NC form (from the template) with the comment made by the auditor.

    I am attaching the beginning of the file that I have generated. Can someone give me a hand?

    Do you want a new OBS or NC form created for each row that contains "Observation" or "non-conformance" or do you want one form that contains all the rows that contain "Observation" or "non-conformance"? For example, in the file you attached, there could be two forms created, one for "non-conformance" and one for "Observation" or one form that would contain both.

    Hi Mumps,

    Thank you for having a look

    I would need a new, stand-alone form generated for each observation or non-conformance.

    In essence, if the auditor finds 2 non-conformances and 1 observation, I would need a total of three forms.

    What would be also good is to have on each generated form a progressive number.

    For instance, in row 6 (B C D E), we will need to report whether it is an observation or a non conformance (and this field can be taken from the check sheet), plus a progressive number:

    - Non-conformance 1 [for the first NC]
    - Non-conformance 2 [for the second NC]
    - Observation 1 [for the first OBS]

    Try the attached file. Click the "Create Report" button. "Observation" and "Non-Conformance" in the Drop Downs sheet had a trailing space in them so I removed the space.

    It is what I had in my mind!

    I will now expand the spreadsheet with the other fields and give it a go to complete the other parts!

    Hopefully I will be able to reverse-engineer your instruction!
