    User friendly worksheet/form

    Hello All

    Apologies if this has been raised on the forum before and I've missed it.

    I want to setup a workbook that will help me analysis credit notes/against invoices, however I want any input to be minimal. This I hope to achieve by getting users who request a credit note to 1st fill in a form, this 'form' needs to be sheet 1 and knowing the users as I do it needs to be setout in the same format as the paper form they currently use. I then need excel on completion of the 'form' (user hitting the print button) to read the information contained in the form and place it on sheet 2 enabling me to analysis the data at monthend or as and when asked to do so.

    For example; day 1 of month 1 a form is completed (sheet1) and that data is read from the form and placed onto row 1 of sheet 2. Day 2 of month 1 another credit note is requested and the data is read and placed onto row 2 of sheet 2 and so on throughout the month until monthend. (Seems a bit like mailmerge in reverse to me)

    Your confidence is not misplaced.

    1/ No you are not barking up the wrong tree (do you really have trees on Saturn?).
    2/ some of it makes sense
    2a/ I do not laugh

    When these known users create the Credit Note request, what do they use? Is it 1 form and everyone uses it, (so what does user 2 see?) or is it a blank form from a template? (that might be easier to manage). I think a sample might be beneficial here.

    Your efforts to minimise your input is to be applauded (and, yes, even encouraged ) so let me know how I can help.

    The users will use 1 form which I have (hopefully) attached. The way I envisage this working is.
    User inputs data into the form on sheet 1.
    That data is then placed into row 1 on sheet 2.
    User inputs new data into form on sheet 1
    That data is then placed into row 1 on sheet 2

    At some point between the entry of data into the form on sheet 1 the data on sheet 2 is moved down by one row in readines for the next user/input of data into form on sheet 2.

    Just so I understand, the user enters data on sheet 1 (although you have called it Sheet 5 on your example)

    The data then gets transferred to the top line of sheet 2. Is this in the same workbook, or another workbook?

    What happens to the sheet that the clerk has lovingly completed? Presumably it needs to be signed as authorised and filed for audit, so what does user2 get to fill in?

    As you are trying to analyse the data would it not be a good idea to have (in addition to the detailed reasons) a Reason code eg short delivery, faulty goods, goodwill gesture, price change etc.

    Yes the user completes the form on sheet 1.

    Not necessarily, sheet 2 could be a separate workbook, I thought it would be a simpler formula if in the same w/book.

    Not thought of that bit... but if selecting the 'print' option, could that then be an instruction to the programme that input is complete?

    That's the next part of my cunning plan, once I get to see what the reasons are for raising credit notes.

    Here's my attempt at a solution.

    The sheet is protected (but no password) to prevent unauthorised changes.

    By clicking the blue button, the data will be posted to a newly cleared first line on Sheet 2. If any box is not completed, the copying will not be allowed.

    Once the data is copied, the sheet will be cleared for the next user. A print routine could be incorporated just before clearing.

    I have put a button to enter test data - saves some time.

    I would not let the great unwashed have access to all the data (one of my little foibles surfacing here ) - I would use the data from Sheet2 to populate my private file, clearing out sheet 2 on a regular basis
