    Stock levels

    Hi there, for my new ict project i intend on managing stock levels.

    My idea will be based on a bike shop, so the stock will be of frames,pedals,forks etc etc.

    What i want to know is how to go about actually doing it,

    For an old project which was a till system i had two sheets,a data sheet and till system sheet , the data sheet contained :

    example:
    column A - numbering of the data (to be used with V Lookup)
    column B - product name
    Column C - price
    This would then be replicated in the next 3 cells for the next data category.

    Till system then had a combo box which had a cell link on the current page and data from the data sheet and then i had a price column next to i (containing V Lookup formula) the price then changed depending on the choice in the combo box.

    I want to incorporate combo box's in to this new project. If i can then get some kind of stock thing i intend on then using conditional formating to colour code stock levels to show severity of needing to order etc.. sorry for the waffle.

    any help would be appreciated .. if you can help please write in noob step by step

    thats really good, by the way my combo box's are not in cells kind of thing, how do you make them part of the cell like the ones you attached. However i don't think i made my question/request very clear as i have i have got this type thing already, i am trying to find out how i make it more like a stock/inventory management type thing. So like no need for price but more like the products would be in a combo box and it would then show how much stock there was and then there would be a way to actually input what your stock levels are and then by clicking on the desired product from the list it would show you how much stock there was, I hope this makes some kind of sense..


    but cheers for that spreadsheet attached, helped me out quite a bit.

    i hope i just attached it,, this is not relevant to the stock project but as you can see from the attached file i can do the v-lookup - i was intending on changing the price data to the stock level. so then i would select from the combo box and it will show me the stock level. However i cant seem to find a way without using vba how to then manage the stock by entering how much of one stock i have taken out (if that makes sense). I intend on then colour coding the stock levels to show severity of stock levels (conditional formatting i think does this colour).
    ps. how do i make my combo box's part of the cell , in my attacthed file they float above cells, ive seen people have drop down/combo boxes part of the cell.

    cheers for that link, very useful however it is a bit too complicated for me i cant understand it even after reading the information so therfore i wont be able to do it myself.

    For inventory control, you may be stuck with using some VBA for this,
    of course access would be the proper program to use for inventory control

    ok i dont get:

    1) on the catalogue sheet there is two of the same sections , the lower one has widgets and wodgets and the top one has just got wodgets am i correct in thinking its just to show the formula.?

    2) =(SUMIF(inv_prod,B10,inv_recd)-SUMIF(inv_prod,B10,inv_used))-E10+F10
    when looking at the formula i dont understand the "inv_prod" etc i know where it is from looking at the forumula break down but why is it called this because i cant see a column name?

    3) on the inventory page how do they get the inormation to change when the drop down list changes,

    4) how does the "update button work"

    5) when you press the button how do they get it to so another row appears.

    relating to attachment :

    as you can see i have re done a whole new basic spreadsheet as a better example.

    As you can see from the attachment there is one combo box and then a stock column (this is the companies stock level). how/what do i use to then have a taking out of stock column - so lets say the stock level is 50 and them someway you then say you take out 5. THis will then be displayed as a current stock level.

    I'll try to answer your questions, but you need to read up on some trhings like Dataq validation & Named ranges. There's some articles at www.excel-it.com and use Google.

    1. The blue cells on the Catalogue sheet display the current selection on the Inventory shet.
    2. "inv_prod" is Dynamic Named Range - look at the Insert menu>-Names>-Define to see. Dynamic Named Ranges are extremely usefulk because they expand as data is entered. There's an excellent article here

    3.The drop down is created by Data validation, there's an article on the site. The information is changed with VLOOKUPS,, again there is an explanation on the site.

    4 & 5 The button works with VBA. Open the VB Editor to see - Alt-F11

    right cheers for all your help so far: i have taken all into consideration and have created a very basic spreadsheet (quite complex for me) . im happy with it at the moment but my teacher says i need a couple more complex features.

    regarding attachment.

    as you can see i have one stock level, this is for pedals (the company im pretending to make for it is a bike company. the same layout/formula will be replicated for frames, forks, wheel sets etc... I was wandering if someone could adjust the data sheet in a better way. Also how do i do a macro that sets everything back to the start (0). (cant do vba as i wont remember how to do it when doing the exam)


    Lastly what else can i add - stock related that involves an if statement or something vaguely complex. i need to introduce more stock managment features according to my teacher (from what i have done so far i am sure you can tell that my excel skills are not great so please suggest something that i might actually be able to do

    I can't really understand cmments where you ask fr a macro, but yu can't use VBA? They are one & the same.

    Your spreadsheet needs to allow for new stock arriving, I would suggest that you use a ComboBox instead of the ListBox and do not use Merged Cells. Your remaining stock is not amended by the changes in your form.

    The example I pointed you t des all this, you simply need to d the research to learn about the specific tools such as Dynamic named ranges, etc. That's the only way you will learn.

    regarding the macro - i understand , just that i normally record a macro which it then puts into vba on its own, i meant is it possible to reset the spreadsheet by recording rather than typing VBA.

    Why do you suggest a combo box instead of a list box may i ask.

    whats wrong with merged cells?

    right i have just changed the list box to a combo box. i just read up on dyanmic named ranges and decided to forget those as they are too complicated to implement in an exam. They look doable now but the spreadsheet i am creating is in practice for the exam and in the exam - no notes etc so i need to be abelt to everything without reference.


    yeh i see what you mean with the fact that the stock doesnt change when changed in the form, what do you suggest that is not too complex? thanks for all your help chums.

    A CmboBox looks tidier, Merged Cells generally cause problems eventually.

    Dynamic named ranges arn't essential, they just make the project better.

    The best way to do the stock level is with VBA, you should be able to memorise the steps required, it's not a big macro.
