    Relative Printing

    Hi everyone,

I've been working with my printing options here, but I can't seem to get my excel to understand what I want...

I have a chart with five columns. I filled out the first two rows, printed it out, and got the approval initials. Now, I have to fill out three more rows on the same chart, and print it out on the same paper and get more initials. So... I was wondering if there is a way to get Excel to print the selected rows in the right spot. I tried things like just print selection or setting the print area, but the selected rows just print out at the top of the page, and not where they are located on the spreadsheet.

I thought about just putting the data into a blank sheet to get it to print out where I want it to, but the problem is that I have to make it so that anyone can add a couple of rows to this same spreadsheet and then print it out onto this same piece of paper. So I guess I need a way to print just the data we added, in the right place on the paper. Or is there an even better way of accomplishing the same thing?

    I'd appreciate any advice! Thanks!

I've thought of a way, there's probably a better way, but after your first print after you have your chart signed off, you put you paper back in the printer for the next set of initials. Before you print can you "White" everything that was printed on the first print so that you second set of data is printed below. But don't forget to Undo after the second print.

    Hope this makes sense

Hi OldChippy! Thanks for the advice! That completely makes sense, and it is a good way of doing what I want to do... I would do it that way, absolutely. Unfortunately, the other people who need to be able to do the same thing tell me that doing all of that (the "deleting data then remembering to undo it" part, I guess) would be too much for them to handle (yeah) ... So I'm not really sure what to do with them... I was hoping there was a way to tell Excel to print the data in the right spot, and that I would be able to make a macro or something out of that so that I could just make a button for them to push to print their additional data. ...maybe there is a way to make a macro to do what you described? I'm not sure how I would get the macro to delete everything except the newest row... or if they added more than one row, how could I get excel to watch for that and print the rows they added? ... I feel like I'm making this more complicated than I need to...

Making it work is not so hard... making it user-friendly, apparently, is.

I'm sure someone who's good with VBA will pick this up and sort it for you, unfortunately I'm very basic with macro's myself, but good luck. The alternative is to train up your other staff in Excel!

I am also an absolute beginner with VBA,

However if I had to attack your problem I would look to white out all cells on the current page except the selected cells,

Then print the page, and finally undo the cell format colour change.

You could then have a proper "print only selected cells" that would maintain the correct cell position on the page.

Looks like a nice VBA training problem, if I had time, but unfortunately I am currently busy. Sorry but I'm sure there is someone else out there who will rise to the challenge.

    Mark.
