    Referencing table data in "dropdown" menus

    Hello Excel Forum Members,

    I'm new, not only to these Excel Forums, but to Excel as a program. I'm got a fair understanding of regularly used formulas and basic formatting learned in using the program. However, I'm struggling with creating a pricing schedule calculator right now...

    Trying to create a few pricing calculators that will reference data from other tables, and calculate pricing.

    What I hope to do is create a chart, that I can fill in options to reference data from other tables, to calculate pricing. So ideally I would have a table that contains criteria to be selected from a drop-down menu, that would effect the calculations in a pricing schedule...

    The idea is to create tables with cost data in them (such as "screen-printing prices based on quantity" or "blank t-shirt pricing based on specifically chosen t-shirt option"), and be able to select the specific criteria "144pcs, 1-color imprint, shirt option 5" that will then apply directly to a chart of calculations, to calculate based on those criteria of costing sell prices at different markups...

    What I can't reason with, is A) how to access the lookup data from the different costing reference tables and B) how to group it into a sort of drop-down menu that future users can select criteria from.

    Any and all help is greatly appreciated.

    Hi Dalton. Welcome to the forum.

    There is a seldom used optional 4th argument in INDEX called [area_num]. It can work well with multiple lookup tables.

    Explore this RE: point A).

    If this is not helpful I suggest you upload a small sample Excel workbook that will illustrate the key points. Please do not upload pics or screen shots. It saves having to retype data, and I can see the problem(s) in some kind of context. You will also find that you get more and faster responses if you do so.

    To attach a file to your post,


    • click “Go Advanced” (next to Post Quick Reply – bottom right),
    • scroll down until you see “Manage Attachments”, click that,
    • click “Browse”.
    • select your file(s)
    • click “Upload”
    • click “Close window”
    • click “Submit Reply”
    • be sure to desensitize the data


    The file name will appear at the bottom of your reply.

    Sorry for my extended delay, I took a break from this project for a while and am just readdressing it now.

    Attached are two screenshots of the files, as you can see, I'm creating the calculator to try and populate data based on a criteria of drop-down selections. (Consider if the user were to input in the QTY1 cell, "24", and were to select "1-color" the data would populate to show $1.90)

    My big issue now is trying to "lookup" the data in a multi-row&column function... I'm not sure how to perform the function idea of "If you select 1-color, and quantity 'x', then excel will populate data based on that criteria")
    I thought about using a VLOOKUP nested in an IF function, but then I couldn't reason with how to specify the row based on quantity...
