Link to data that is expandable and maintain that structure

Hi, forgive me for non-technical word choice.
I am trying to break a larger document down to smaller documents, but have it so that when the smaller documents are updated, the bigger one updates automatically, and there is not an excess of empty cells.

So far, I have linked the big file to the small ones using the IF formula, but I can't figure out how to be able to add data to the small fines and have it auto-update.

I would use powerpivot and tables.

There may be a number of ways to do this, depending on what your data/layout looks like. Can you upload a small (clean) sample workbook (not a pic) of what you are working with, and what your expected outcome would look like.
