    Not getting the column titles while male merge

    Dear friends,
    I have created a database of coupans collection and I want to send the letters to all using male merge function. I tried it but I am not getting column titles in insert male merge step. I want the following column titles in a list of table headings after clicking 'insert mail merge fields' option. My fields are as follows:

    SR. NO. INWARD NO. INWARD DATE DISTRICT TALUKA SENDER MOBILE PHONE OFFICE ADDRESS "MODE OF
    PAYMENT" CHEQUE/DD NO. "Cheque/dd/
    CASH date" "NAME OF
    BANK" RECEIPT NO. "RECEIPT
    DATE" AMOUNT "AMOUNT
    ( IN WORDS)" MONTH OUTWARD NO. "OUTWARD
    DATE" DISTRICT "TALUKA
    Ahmednagar-Bhandara" "TALUKA
    Buldhana-Hingoli" "TALUKA
    Jalgaon-Nagpur" "TALUKA
    Nanded-Pune" "TALUKA
    Raigad-Solapur" "TALUKA
    Thane-Yavatmal" MONTH ABBREVIATION



    All these fields should be there for selection. I will select the fields as per my requirement.

    If your data in excel was not flatten base or table, Mail Merge will not get the title on your excel it automatically assign F1, F2, F3...., if you want to automatically get the title heading of your excel in Mail merge you need to convert your excel data to Excel Table and should start in A1 otherwise you need to remember the column, in your case you have in your mail merge title "ABC FOUNDATION", then " "FLAG DAY COUPANS COLLECTION MASTER DRAFT" and for B4[SR. No.] = F1, C4[INWARD No.] = F2 etc)

    Thank you for your response. Sorry I didn't understand flatten base or table. I can't start the table from a1 because the name of institute should be there on the top of the table. So in this case you suggested me to remember assigned to column title as b4 sr no f1 and so on.
    Please guide it more in detail for my better understanding. I have attached a sample thanks letter here which I have to send to all the donners. In this letter I want to include only following column titles.
    outward no.
    outward date
    sender
    address
    receipt no.
    receipt date

    Please assign these column titles to f1, f2, f3 etc. and insert it in this sample thanks letter for output of thanks letter.
    Please explain me how to assign this column titles to f1, f2, f3, etc. respectively.
    How to create a table flatten base?

    Male merge???

    Since you don't start the data rows on row 1, you need to name your data range, starting at row 4, then tell the mailmerge to use the named range. Either that, or delete rows 1-3.

    F1, F2, F3 and so on are assign by the MAIL MERGE when you create the link (your excel File), you just memorized those F1, F2, F3 and so on the column title that the mail merge assign to it, in the mail merge wizard at the mail merge recipient) something like this:
    Date Source F1 F2 F3..
    your excel file S.R. No. INWARDS No. INWARDS Date...

    acerhod: While that's possible, it's not exactly user-friendly and is liable to result in errors as it spans merged rows.

    Mukesh: Surely you know how to name a range in Excel?! I have no idea what you mean by "the name of institute should be there". If you mean you want that to appear in every record, I've got bad news for you: that's not how you do a mailmerge. You really should take the time to learn the basics at least; that way you won't find yourself with workbooks that don't suit your needs. It's not even apparent to me what range you want the merge to apply to (I'd guess 'COUPONS COLLECTION master draft'!B4:AD5005) as the document you attached isn't even configured for mailmerge.

    Hello,
    I know the naming function which I have used in my table. Please see it. Secondly the name of institute means that 'abc foundation' should be there in the table but not in mail merge thanks letter.
    I have mentioned that I want to merge only few column titles mentioned in my previous reply.
    outward no.
    outward date
    sender
    address
    receipt no.
    receipt date

    Only above mention column titles should be there in a mail merge thanks letter attached in last reply.
    Now please guide me how to do this by using naming function. Just give me a idea I will do it.

    You have a mass of named ranges, but have you named the range for the mailmerge? That one name must span all of the columns and rows used for the mailmerge; a mailmerge can't use one name for one column and a different name for another column.

    Once you've done that, use Word's mailmerge tools and select your named range at the appropriate point during the data source selection process. You will then be able to see your named data fields.

    You can name it whatever you want, provided it spans the whole mailmerge range. The rest you will be able see as you do the mailmerge, using your named range.

    You are absolutely right but due to my understanding problem I requested you to do it for me to accomplish my task in time. I will observe the file and go through it and will see how you have created mailmerge naming and other functions.
    Finally, I humbly request you to do it for me I will be greatful to you. I will learn it by observing the file in detail. You are requested to give me some step by step instructions to accomplish this difficult task.

    Dear acerrhod,
    I followed your instructions but unable to complete mailmerge successfully. I get the error message as follows:

    Word cannot complete the save due to file permission error.
    (C:\users\Mukesh\App data\...\~WRD0000 tmp)

    Please help me.

    Hmmm there seems to be some confusion here maimerge is very easy to use, but I'm a little confused as to what you want? Why do you not just put the relevant fields in an Excel file that you wish to merge? Surely that will make it easier for whoever is using it? then you wont have to worry about f1 etc you can start from A1?

    Hi, not sure where you are with this? take a look at the Excel file MAILMEGE, then look at the WORD DOC, (ABC SOLUTIONS) this has your title so no need to have that in the Excel file, this may make it easier for you, any questions go ahead.

    Thank you for guidance. It's working fine. I request you to send me a step by step guidance of mail merge so that I will not make such a silly mistakes in future. To avoide the traffic on forum you may send the step by step guidance file on my personal email id as follows:

    I like your idea of starting the excel data from a1 to avoide confusion.
    Sorry for spelling mistake which gives the totally different meaning. This is a magic of English language. I didn't find the option to correct my thread title.
    I don't want to do the insert merge fields step each time that means I want to do it in the beginning first time only. Then second time I want to start the mail merge from the finish mail merge step the final step only to avoide time and mistake in future.
    Which is the correct option after clicking word file yes/no. that is this will run the following sql command on your computer, yes/no.

    Waiting to receive step by step guidance of mail merge today positively. Sorry for trouble.

    1) Enter your data in the Excel file
    2) Close the Excel file
    3) Open the Word document
    4)Select Mailings tab
    5)Start Mail Merge (Letters)
    6)Select Recipients(use existing list) FIND YOUR EXCEL FILE
    7)Insert Merge fields
    8)Finish & merge
    9)Now you will have as many letters that is in your excel database.

    Thank you for steps of mail merge. I also follow these steps but I get error message after finish mail merge . Now I click on that error message and then I get the letters with merge fields in it.
